1. Who we are
This policy explains how NEEDMOREPROD (NMP) handles your personal data. NEEDMOREPROD LTD is a company registered in England and Wales (company number 14182594), and is the data controller for the information described here. Emmanuel Ocloo, our founder, is responsible for data protection. You can reach us at enquiries@needmoreprod.com, and a postal address is available on request.
2. What this covers
This policy applies to our website, our intake forms, our mailing list, and any personal data you give us while we match you with a creative or add you to our roster. It sits alongside our Terms & Conditions.
3. What we collect
We only collect what we need to run the service, and it’s all information you give us yourself. If you’re a client: your name, email address, any other contact details you choose to share, and what you tell us about your project including your budget, timeline and any inspiration files you upload. If you’re a creative: your name, email address, contact details, location, the work you do, your rates and availability, and the portfolio samples you send us. If you join our mailing list: your first name, last name and email address. Our website host also records standard technical information such as your IP address and browser type, which we use to keep the site running and secure.
4. Why we use it, and our legal basis
We use client and creative details to vet, match and introduce you, and to stay in touch about your project — our legal basis is that it’s necessary to provide the service you’ve asked us for. We use mailing list details to send you occasional updates about NMP — our legal basis is your consent, given when you signed up. We use payment details to take the £25 matching fee where it applies, and to meet our legal obligations for financial records. We use technical website data to keep the site secure and working, on the basis of our legitimate interest in running it properly.
5. Portfolio samples and anonymity
When a creative joins our roster, we may show samples of their work to potential clients without revealing who made it, until an introduction is made. We explain this in our Terms and creatives agree to it when they apply. Files clients upload as inspiration are used only to brief the creative we match you with.
6. Who we share it with
We don’t sell your data and we don’t share it for advertising. When we make a match, we share the details you’d expect — a client’s brief and contact details with the creative we introduce, and the creative’s details with the client. We also use a small number of trusted service providers who process data on our behalf: Cloudflare (website hosting and file storage), Airtable (where form submissions are stored), EmailOctopus (our mailing list), Stripe (payment processing), and Microsoft (our email). Each of these handles data under their own security and data protection obligations. Some may process data outside the UK, in which case appropriate safeguards apply. We’ll also disclose data where the law requires it.
7. How long we keep it
We keep client and creative records for as long as the relationship is active, and for up to two years afterwards so we can pick things back up if you return. We keep mailing list details until you unsubscribe. We keep financial records for six years, as HMRC requires. Portfolio samples and inspiration files are kept while they’re useful for matching, and removed on request.
8. Your rights
Under UK GDPR you can ask us for a copy of what we hold about you, ask us to correct anything wrong, ask us to delete it, ask us to restrict how we use it, or object to us using it. Where we rely on your consent — the mailing list — you can withdraw it at any time, and every email we send carries an unsubscribe link. To exercise any of these, email enquiries@needmoreprod.com. We’ll respond within one month.
9. Keeping it safe
Your data is held on secure, access-controlled services and only the people who need to see it can. Our site is served over an encrypted connection. No system is perfect, but we take security seriously and we’d tell you promptly if something went wrong in a way that affected you.
10. Cookies and tracking
We don’t use advertising or tracking cookies. Our host, Cloudflare, may set essential cookies needed for security and site performance. We don’t build profiles on you or follow you around the internet.
11. Children
Our service isn’t intended for under-18s and we don’t knowingly collect their data. If you believe we hold data about a child, tell us and we’ll delete it.
12. Complaints
If you’re unhappy with how we’ve handled your data, tell us first and we’ll try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk.
13. Updates and contact
